WHAT WE’RE LOOKING FOR

We’re looking for an organized, detail-oriented Project and Operations Manager to support and execute the daily workflow, resourcing data, and operational needs of a fast-paced creative department. This role partners closely with the Director of Creative Operations to ensure projects move efficiently, teams stay supported, and creative work is delivered on time and at the Mojo standard.

This is a hands-on execution role focused on coordination, communication, and operational hygiene. You’ll be expected to work independently, adapt quickly, and turn high-level direction into clear, actionable next steps for project teams. You’ll function as a trusted execution partner to the Director of Creative Operations, owning details and follow-through so leadership can stay focused on higher-level decisions.

IN THIS ROLE, YOU WILL

Project & Workflow Management

  • Manage project timelines, deliverables, and day-to-day task flow across pitches and active projects.
  • Support Creative Ops, Agency Ops, and project leads in creating and maintaining project plans; track milestones and update stakeholders regularly.
  • Communicate daily updates to teams, ensuring clarity around next steps, assignments, and timing.
  • Maintain status documents, trackers, and project folders with strong version control.
  • Consolidate feedback across teams and ensure deliverables reflect approved direction.
  • Proactively follow up with teams to ensure deadlines, assets, and action items are met.
  • Translate high-level operational direction from the Director of Creative Operations into clear, executable plans for teams.

Resourcing & Capacity Support

  • Act as the liaison for day-to-day resourcing updates to Creative team members (allocation shifts, assignment changes), while people management remains with the Director of Creative Operations.
  • Partner with the Director of Creative Operations on resourcing needs and update weekly creative resourcing schedules in Float (or learn quickly with guidance).
  • Coordinate short-term resource changes, swaps, freelancer allocations, and coverage adjustments.
  • Support freelancer onboarding by coordinating introductions, access, and tool setup so they can integrate smoothly into active projects.
  • Flag timeline, resourcing, and dependency risks early and escalate with recommended next steps.

Operational Support & Process Hygiene

  • Maintain high-quality organization across operational systems, shared drives, and documentation.
  • Support administrative workflows including documentation, organization, and follow-ups.
  • Assist with quantitative and data-based operational tasks such as updating estimates, resourcing hours, burn tracking, and staff plans.
  • Triage incoming operational requests, determine next steps, and route to the appropriate team members when possible.
  • Support the implementation and ongoing maintenance of new operational processes.
  • Manage the handoff of finalized staff plans to Finance and confirm correct submission for utilization tracking.
  • Pull relevant data from approved staff plans and accurately transfer it into client-provided documents, templates, or requested formats.
  • Own project intake by gathering requirements, confirming briefs are complete, and setting up workflows for execution.
  • Assist with internal documents, timelines, and deliverable summaries to support cross-functional alignment.
  • Capture meeting notes, action items, and follow-ups, particularly in Creative reviews.
  • Schedule internal reviews, working sessions, and cross-functional touchpoints as needed.
  • Support the operational components of award submissions, case study documentation, and project recaps when required.

Cross-Functional Collaboration

  • Act as a central coordinator between Creative, Strategy, Production, and Account teams.
  • Ensure all teams have clarity on deliverables, deadlines, and dependencies.
  • Protect creative team time by managing routing, follow-ups, and operational friction points.

Success in this role looks like projects moving smoothly, staffing plans staying accurate, and teams feeling supported rather than reactive.

YOU’LL SUCCEED IF YOU HAVE

  • 4–6 years of experience in project management, creative operations, or production within an agency or creative team environment.
  • Strong organizational skills and comfort managing multiple workstreams simultaneously.
  • Experience working in a scrappy, fast-moving agency where priorities shift frequently.
  • Ability to quickly learn tools, systems, and workflows with limited training.
  • Experience with project management and resourcing tools; Float experience is a plus.
  • Comfort working with staffing plans, resourcing hours, and scope- or budget-driven adjustments.
  • Excellent written and verbal communication skills.
  • A calm, organized, solutions-oriented presence that supports healthy Creative and Strategy teams.
  • A collaborative, proactive working style with strong attention to detail.

NICE TO HAVE

  • Experience supporting new business pitches and staffing plans.
  • Familiarity with agency finance, utilization tracking, or budget management workflows.
  • Experience operating without a formal project management tool.
  • Exposure to award submissions, case studies, or creative recaps.
