Senior Project Manager

Overview

The Senior Project Manager is a highly experienced leader responsible for both internal delivery excellence and system architecture across the agency. This role combines hands-on project management—timelines, budgets, risk management, resource allocation—with the strategic responsibility of building scalable, repeatable workflows that improve efficiency and quality across all projects.

The Senior PM is internal-facing only, serving as the agency’s authority on project management practices, systems, and optimization.

Key Responsibilities

System Architecture & Optimization

  • Design, implement, and continuously optimize project management workflows, templates, and processes.
  • Ensure all systems (Teamwork, Slack, MS Teams, Google, and reporting dashboards) are effectively set up and used.
  • Identify inefficiencies and discover opportunities to make projects more efficient moving forward.
  • Build repeatable structures for budgets, timelines, and deliverables.

Project Management Leadership

  • Lead creation, management, and enforcement of all agency project timelines, budgets, and milestones.
  • Develop and manage a status system for all projects.
  • Oversee resource allocation across the agency, ensuring balanced workloads.
  • Proactively identify risks and build mitigation strategies.
  • Conduct internal quality control reviews before deliverables reach clients.
  • Document workflows and train staff on best practices.

Team Leadership & Autonomy

  • Mentor and manage junior project managers, ensuring consistent application of standards.
  • Serve as an escalation point for blockers, resourcing conflicts, and risk-heavy projects.
  • Operate autonomously as the internal expert and authority on project management.
  • Provide leadership with recommendations on resourcing, capacity, and operational improvements.

Cross-Department Integration

  • Develop a deep understanding of all agency functions—including Creative SMEs and Fulfillment SMEs (kitting, custom packaging, shipping, and event logistics).
  • Ensure workflows are designed so these teams integrate seamlessly with Account and Client Experience.
  • Build and maintain operational processes that establish a natural working order between Account, Creative, and Fulfillment departments, ensuring smooth collaboration, efficient handoffs, and consistent delivery quality.

Requirements

  • 7+ years of project management experience in an agency or complex environment.
  • Proven expertise in system optimization and workflow design.
  • Strong financial acumen: forecasting, tracking, and reporting budgets.
  • Expert-level proficiency with Teamwork and other PM tools.
  • Leadership experience in managing and mentoring PM staff.
  • Strong systems-thinking and continuous-improvement mindset.

Success in This Role

  • Agency has efficient, repeatable systems for project execution.
  • Subject matter experts & creative team feel unblocked and have clear prioritization.
  • Projects consistently delivered on time, on budget, with minimal escalation.
  • Agency workflows improve regularly, driven by Senior PM insights.
  • PMs and staff are trained, mentored, and supported to perform at a higher level.
  • Leadership can trust delivery operations are managed independently.

Expected Work Hours

  • Full-time role aligned to U.S. business hours (8 am–5 pm Mountain Time preferred).
  • Flexibility available where business needs allow.
